Job Description: Shift Mon-Friday 8-5. With an hour lunch. No, nights or weekends. Greets customers, answers telephone calls, takes messages, and forwards calls. Distributes and explains paperwork or forms to customers. Provides clerical support to the office or department. Job Essentials 1. Greets customers, answers telephone calls, takes messages, and forwards calls in a courteous and efficient manner. 2. Checks phone and e-mail messages and communicates accurate messages in a timely manner. 3. Ensures customers requests are triaged and handled appropriately and timely. 4. Contacts or pages staff when needed. 5. Responds to requests for information and appropriately releases information based on policy. 6. Maintains an organized and clean work and reception area. 7. Distributes and explains paperwork or forms to customers. Collects paperwork or forms from customers ensuring it is complete. 8. Collects, copies, or processes items from customers such as forms, insurance cards, or payments. 9. Tactfully handles difficult situations with customers while remaining positive and professional. When needed, escalates issues to the appropriate staff member. 10. Provides clerical support. May assist with any of the following assignments: sorting and distributing mail; typing; data entry; scheduling appointments or meetings; ordering, stocking and maintaining supplies; assembling files or packets; scanning documents; processing forms or paperwork; or other clerical duties. Minimum Qualifications Six months experience as a receptionist or working in a clerical position with customer service or public relations responsibilities Experience using a computer including e-mail and internet Experience using general office equipment such as fax machines, printers and copiers Demonstrated effective interpersonal verbal and written communication skills Demonstrated ability to perform multiple tasks with accuracy and in a timely manner Demonstrated focus on positive customer service Preferred Qualifications Experience working in a healthcare setting Experience typing or performing data entry Experience using a telephone switchboard Experience with word processing, spreadsheets, and scheduling programs Physical Requirements: Interact with others requiring employee to verbally communicate as well as hear and understand spoken information. Operate computers, telephones, office equipment, including manipulating paper requiring the ability to move fingers and hands. See and read computer monitors and documents. Remain sitting or standing for long periods of time to perform work on a computer, telephone, or other equipment.
