Veterinary Receptionist

Eastern shore Animal Hospital is seeking a friendly, organized, and customer-focused Veterinary Receptionist to join our team in Grady, North Carolina. As a key point of contact for our clients and their pets, you will play a crucial role in providing exceptional service, scheduling appointments, and ensuring efficient daily operations of our busy animal hospital. Sound Duties: Greet clients and visitors warmly, offering a welcoming and professional first impression of the hospital. Answer phone calls, emails, and inquiries, providing accurate information about our services, appointment availability, and general pet care. Schedule appointments for veterinary consultations, surgeries, and procedures, utilizing the hospital’s appointment scheduling system. Collect and update client and patient information, ensuring accuracy and completeness in our electronic medical records system. Check in and check out clients and their pets, managing paperwork, payments, and insurance claims as necessary. Coordinate and manage waiting room flow, minimizing wait times and ensuring a comfortable and organized environment for clients and pets. Assist clients with completing necessary forms, obtaining medical histories, and ensuring all required information is documented. Address client concerns, inquiries, and requests in a courteous and efficient manner, escalating complex issues to appropriate staff members when necessary. Collaborate closely with veterinary medical staff to relay information, schedule follow-up appointments, and manage communication between clients and doctors. Maintain cleanliness and organization of the reception area, including the waiting room, front desk, and client communication materials. Manage incoming and outgoing mail, packages, and deliveries efficiently. Participate in the training and onboarding of new reception staff, ensuring consistent service standards and smooth workflow. Keep up-to-date with hospital policies, procedures, and services to accurately inform clients and answer their questions. Assist with other administrative tasks, such as record-keeping, filing, and data entry, as needed. Required Skills/Abilities: Excellent communication skills, both verbal and written, with the ability to convey information clearly and professionally. Strong interpersonal skills, with the ability to interact with a diverse clientele and build positive relationships. Proficiency in using computer software, including scheduling systems, electronic medical records, and Microsoft Office Suite. Exceptional organizational skills and attention to detail to manage appointments, paperwork, and client information accurately. Compassionate and empathetic attitude towards animals and their owners. Problem-solving skills to address client concerns and manage challenging situations. Flexibility to work varied shifts, including weekends and some holidays, to accommodate the hospital’s operational hours. Genuine interest in promoting animal health and well-being, and a willingness to learn about veterinary practices and procedures. Other duties as assigned. Education and Experience: Prior experience in a customer service or reception role, preferably in a veterinary or medical setting, preferred Physical Requirements: Ability to sit for extended periods of time and walk intermittently Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers Ability to stand for extended periods of time. The ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 40 pounds with or without accommodation.
