Under the direction of the Switchboard Supervisor, the Receptionist (Switchboard Operator) performs continuous communications for the Big Spring State Hospital using a VoIP console application and performs receptionist duties for the agency. Work involves answering, placing, transferring calls, placing conference calls, monitoring the facility fire alarm system, operating the public-address system, using, and monitoring 2-Way radios, receiving visitors, and providing general information. This position supports a 24/7/365 departmental operation and requires significant schedule flexibility including occasional overtime. The successful candidate for this position will occasionally work other shifts as necessary to support the departmentxe2x80x99s mission. Essential Job Functions: Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. 1. Places, answers, routes and initiates local and/or long-distance calls, using computerized telephone software. 2. Operates a Cisco Console phone system, 2-way radio console to communicate with hospital staff and personnel. 3. Greets and communicates visitors and visitors, staff and patients in person and over the phone. 4. Provides directions to hospital campus location as needed and responds to inquiries for patient information when responding to requests for such information. 5. Provides training for new staff and updated training of new procedures to general switchboard staff. 6. Ability to handle stress. 7. Ability to work alone or closely with others. 8. Ability to occasionally work long or irregular work hours. 9. Monitors the facilityxe2x80x99s emergency Fire Alarm Annunciator. 10. Monitors the facilityxe2x80x99s Emergency Phone. Dispatches Security to emergency locations and communicates emergencies to Medical, Nursing, Administration, Safety and Communications leadership personnel immediately. 11. Provides feedback to Supervisor on what processes or procedures are working well, needs improvement or needs to be revised. 12. Keeps a detailed account of all events with the use of a hospital computer and distributes via email. 13. Connects conferences calls with Medical Staff, Nursing Staff and outside Medical Hospital facilities. 14. Maintains and issues master keys for BSSH Lodging and contractors as needed. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agencyxe2x80x99s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Knowledge Skills Abilities: Knowledge of the operations of a telephone switchboard/multiline telephone system. Knowledge of and ability to demonstrate use of Microsoft Word, Excel and Outlook. Ability to transfer incoming calls to appropriate personnel and to greet and direct visitors. Ability to prepare and maintain records, files, and reports. Ability to communicate effectively in verbal and written forms with all levels of the organization to include patients, vendors and visitors. Ability to multitask in a fast-paced environment; and to train others. Registration or Licensure Requirements: None Initial Selection Criteria: Graduation from a standard senior high school or GED preferred. Willingness to work days other than Monday through Friday to include weekends, holidays and on call. Experience as a switchboard operator or receptionist/clerical/data entry work and/or experience with a multi-line phone console. Experience in a security operations center/dispatch center preferred. Experience working in a hospital setting, or at a customer service desk, call center or switchboard. Additional Information: SALARY NOTE: The posted salary range reflects the minimum and maximum allowable by state law. Any employment offer is contingent upon available budgeted funds. The offered salary will be determined in accordance with budgetary limits and the requirements of HHSC Human Resources Manual Chapter 7. All these diseases are vaccine preventable. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals.
